That combination — a business that earns most of its annual revenue in a six-week window, blending two different revenue models (milling other people's olives for a fee, and bottling its own oil for retail), sitting on inventory that degrades even when stored correctly — creates bookkeeping challenges that generic small-business accounting advice doesn't address. Custom-crush milling fees are essentially service revenue. A grower — sometimes a hobbyist with a few backyard trees, sometimes a commercial orchard operator — brings in olives, and the mill charges a fee to crush them and hand back oil (plus, usually, the pomace and wastewater byproducts). Fee structures vary widely: some mills charge per ton with a flat minimum (a common structure is roughly $650–$800 for the first ton, then a per-pound rate for anything beyond it), others charge straight per pound (rates in the $0.30–$1.30/lb range show up regularly, with organic-certified batches usually priced higher). Because this is a service, the accounting is comparatively simple: it's fee-for-service income, recognized when the milling is complete and the oil is returned to the customer. The tricky part is making sure your point-of-sale or invoicing process actually captures every batch — during peak weeks a mill might be running back-to-back small custom lots for dozens of local growers, and it's easy for a handwritten ticket to get lost in the chaos of harvest season. Track each lot with a unique ID that ties the pounds received, the gallons/liters returned, and the fee charged into one record. That record becomes your defense if a customer disputes a yield later.
Own-label production is a different animal entirely — this is inventory accounting for a food manufacturer. The mill buys or grows its own olives, crushes them, ages/settles/filters the oil, bottles it (often months later), and sells it at retail or wholesale over the following year. This revenue stream needs full COGS tracking: raw olive cost, milling labor, bottling materials, labeling, and the eventual cost basis that flows through when a case of oil sells in March from a harvest that came in the previous November.
Keep these as separate income accounts and — if your books support it — track custom-crush fee income and own-label product sales in different classes or locations. Yield Ratios Are Your Cost Driver, Not a Footnote

Extraction yield swings significantly based on olive variety, ripeness at harvest, weather during the growing season, and even how the fruit was handled between the tree and the mill.
As a rough range, expect somewhere between 50 and 200 pounds of olives to produce one gallon of oil — a roughly fourfold spread depending on those variables. That means the same ton of fruit might yield 10 gallons of oil in a poor year and 40 gallons in an excellent one. Practical implications for your books:

Harvest-Day Perishability and Inventory Valuation
The 24–48 hour window between harvest and milling isn't just an operational constraint — it's an accounting one too. Unlike most agricultural products, raw olives essentially cannot be "inventoried" in any meaningful sense; they either get milled almost immediately or their value degrades. This means your books rarely need to carry raw-olive inventory for more than a day or two, which simplifies that part of the ledger considerably compared to, say, a grain elevator.

Build a periodic review into your process — checking older lots against current California Olive Oil Council or USDA grading standards, not just assuming last year's harvest still qualifies as your top tier.
- Bottling triggers a shift in the asset's classification and often its costing complexity, since packaging materials, labeling, and bottling labor all need to be added to the cost basis at that point, and a single bulk lot might get bottled in batches spread across several months as demand and cash flow allow.
The Seasonal Cash Flow Cliff
Almost all of a mill's revenue-generating activity — both custom-crush fees and the raw-material cost of own-label oil — happens in a six-to-ten-week window in the fall. Retail and wholesale sales of the bottled product, by contrast, trickle in over the following 12 months as inventory gets bottled and shipped.
This creates a cash flow pattern that looks nothing like a typical small business's smooth (or even mildly seasonal) revenue curve. Expect a sharp spike in labor costs, olive purchases (if buying fruit rather than growing your own), and equipment maintenance right before and during harvest, followed by a long tail of modest, steady product sales. If you're budgeting month-to-month using a simple average, you'll misread both ends of that curve — panicking during the slow months and under-provisioning for harvest.
A rolling 12-month cash flow forecast, rebuilt each year with the prior season's actual harvest timing and yield data, does far more good here than a static annual budget. It's also worth building a cash reserve specifically earmarked to cover harvest-season labor and purchasing before that year's bottled-oil sales start rolling in — treating the gap between "spend on the harvest" and "get paid for the bottles" as a financing need to plan for, not a surprise to react to.
Farm Tax Treatment: Schedule F, Cash Method, and UNICAP
If your mill operates as part of a farming business (which most do, especially if you also grow olives), income and expenses typically get reported on Schedule F rather than Schedule C. Custom-crush fee income earned from milling other growers' fruit is generally reportable there too, alongside your own-label production income.
Most small farm operations — including mills — use the cash method of accounting rather than accrual, since it's simpler to administer and the IRS explicitly permits it for qualifying farmers.
